1. Introduction
This Privacy Policy explains how The Intelligent Business LLC ("Inteleng," "we," "us," or "our") collects, uses, stores, shares, and protects information when you use the Inteleng platform, our website, and any related services (together, the "Service").
Inteleng is a meeting intelligence platform. The Service records leadership meetings, produces transcripts, and uses automated processing to generate structured meeting output including issues, 90-day priorities, and action items. Because we process recordings of conversations, this policy describes our handling of audio and transcript data in detail.
By using the Service, you agree to this Privacy Policy. If you do not agree, do not use the Service.

2. Who this policy applies to
This policy applies to two groups, and your rights differ depending on which group you fall into.
Account holders and users. Individuals and organizations who create an account, subscribe, or use the platform directly. We act as the controller of this information.
Meeting participants. Individuals whose voices are captured in a recording created or uploaded by an account holder, whether or not they have an Inteleng account. For this information we act as a processor on behalf of the account holder's organization, which decides why the recording was made and what happens to it.
If you are a meeting participant and want your information removed, contact the organization that recorded the meeting. If you cannot identify or reach them, email info@theintelligentbusiness.com and we will make reasonable efforts to route your request.
3. Information we collect
Information you provide
Account information: name, email address, password credentials, job title, and organization name.
Billing information: billing contact, billing address, and subscription details. Payment card data is collected and processed directly by our payment processor. We do not store full card numbers.
Team data: names, email addresses, and roles of team members you invite, and how your organization is structured in the platform.
Support communications: messages and attachments you send when you contact us.
Meeting content
This is the most sensitive category of information we handle.
Audio recordings captured live through the Service or uploaded by you as audio files.
Transcripts generated from those recordings, including spoken words and, where available, speaker attribution and timestamps.
Generated output derived from the recording, including issues, 90-day priorities, action items, assigned owners, status markers, and summaries.
Your edits, including reordering, retitling, assigning owners, marking issues resolved, and marking priorities on track or off track.
Exports you generate, including PDF files of meeting results.
Information collected automatically
Usage data: features accessed, actions taken, session duration, and timestamps.
Device and connection data: IP address, browser type and version, operating system, device identifiers, and referring URLs.

Information we do not want
We do not ask for, and ask that you not submit, government identification numbers, financial account numbers, health information, or similar sensitive data through the Service. Meeting recordings may incidentally capture such information if participants speak it aloud. We protect any such content the same way we protect all meeting content, but we cannot prevent its capture, and you are responsible for what is discussed in recorded meetings.
4. How we use information
To provide the Service. Transcribing recordings, generating structured output, storing your meeting history, enabling exports, and delivering the features you subscribe to.
To operate and secure our systems. Authenticating users, preventing fraud and abuse, monitoring for security incidents, diagnosing technical problems, and maintaining backups.
To communicate with you. Service announcements, security notices, billing communications, and responses to support requests.
To improve the Service. Analyzing aggregate usage patterns, diagnosing accuracy problems, and developing new features.
To comply with legal obligations. Responding to lawful requests, enforcing our agreements, and establishing or defending legal claims.
We do not train on your meeting content
We do not use your meeting recordings, transcripts, or generated output to train, fine-tune, or improve any machine learning model, whether ours or a third party's.
5. How we share information
We do not sell personal information. We share it only as described here.
Service providers. We use third parties to operate the Service, in the following categories: cloud hosting and storage, speech-to-text transcription, automated output generation, payment processing, email delivery, and product analytics. These providers may access information only to perform services for us and are bound by contractual confidentiality and security obligations. Within your organization. Meeting content is accessible to other users in your organization's account according to the permissions your administrator sets. Your administrator may access, export, and delete content associated with your account.
Legal and safety. We may disclose information where we believe in good faith it is required by law, legal process, or governmental request, or where necessary to protect the rights, property, or safety of Inteleng, our users, or the public. Where legally permitted, we will make reasonable efforts to notify you before disclosing your content in response to a legal request.
Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may transfer as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.
At your direction. When you export or share content through the Service, such as generating a PDF and sending it to someone, that sharing is under your control. Once exported, we no longer control the file.
6. Recording consent and your responsibilities
Laws governing the recording of conversations vary. Some jurisdictions require the consent of only one participant. Others — including California, Florida, Illinois, Maryland, Massachusetts, Michigan, Montana, Nevada, New Hampshire, Oregon, Pennsylvania, and Washington — generally require the consent of all participants, and violations can carry criminal as well as civil penalties. Requirements outside the United States differ again.
You are responsible for obtaining every consent required by law before recording a meeting through the Service or uploading a recording to it. This includes informing all participants that the meeting is being recorded, that the recording will be processed by an automated service, and how the resulting content will be stored and shared.
We display recording indicators within the Service, but these are a convenience. They do not constitute legal notice, do not obtain consent on your behalf, and do not relieve you of any obligation. We do not verify that consent was obtained.
If you upload a recording you did not create, you confirm you have the right to do so and that all required consents were obtained when it was made.
7. Data retention
Account information: retained while your account is active, and for 90 days after closure to satisfy legal, tax, and accounting obligations.
Meeting recordings, transcripts, and generated output: retained for as long as you keep them in your account, or until you delete them.
Backups: deleted content may persist in encrypted backups for up to 90 days before being overwritten in the ordinary course.
Usage and log data: retained for 12 months.
You may delete individual recordings, transcripts, and generated output at any time through the Service. Deletion is not immediately reversible. When you close your account, we delete or de-identify your information within 30 days, except where retention is required by law.
8. Security
We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. These include:
Encryption of data in transit using TLS
Encryption of data at rest, including audio recordings and transcripts
Role-based access controls limiting employee access to production data
Logging and monitoring of access to systems containing customer content
Regular review of access privileges
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for activity under your account.
Breach notification. If we become aware of a security incident affecting your personal information, we will notify you and any applicable regulators as required by law and without undue delay.
9. Cookies
We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Service is used.
Strictly necessary cookies enable core functionality such as authentication and cannot be disabled. Analytics cookies help us understand usage patterns.
You can control cookies through your browser settings. Where required by law, we present a consent banner allowing you to accept or decline non-essential cookies.
10. Your rights
Depending on where you live, you may have rights to access the personal information we hold about you, correct inaccurate information, delete your information, receive it in a portable machine-readable format, restrict or object to certain processing, withdraw consent where processing is based on consent, and opt out of the sale or sharing of personal information. We do not sell personal information. We will not discriminate against you for exercising any of these rights.
To exercise these rights, email info@theintelligentbusiness.com. We will respond within the timeframe required by applicable law, generally within 30 to 45 days. We may need to verify your identity first.
If you are a meeting participant rather than an account holder, see Section 2 for how to direct your request.
Appeals. If we decline your request, you may appeal by emailing info@theintelligentbusiness.com with the subject line "Privacy Appeal." You may also complain to your state attorney general or your local data protection authority.
11. International users
We are based in the United States and process information here and in other countries where our service providers operate. If you access the Service from outside the United States, your information will be transferred to, stored in, and processed in a country whose data protection laws differ from your own.
12. Children
The Service is not directed to individuals under 18, and we do not knowingly collect their personal information. If we learn we have, we will delete it. If you believe a minor has given us information, email info@theintelligentbusiness.com.
13. Changes to this policy
We may update this policy. When we make material changes, we will notify you by email or through the Service before they take effect. The date at the top reflects the most recent revision. Continued use after changes take effect constitutes acceptance.
